A consistent email signature helps people — especially new hires and external contacts — quickly understand who they’re communicating with, what you do, and where you’re based.
Your signature is generated from your directory profile. The standard format includes your name, job title, company, timezone, phone number, and a link to yambay.com.
Phone number: Sharing your phone number is not mandatory. However, it is recommended when you regularly interact with external parties, as it makes it easier for clients and partners to reach you directly.
Font size: The signature font size (9pt) is intentional. It is the recommended size for email signature blocks and helps keep the signature visually distinct from the email body. Please do not change the font size so that signatures remain consistent across the company.
The generator provides three standard variants as a starting point. You’re welcome to structure your signature as you prefer, within reason, for example creating your own variants for travel or mobile. The key things to keep consistent are:
If your timezone observes daylight saving, your signature will need to be updated twice a year. You can either:
| Standard | New emails to external recipients | Set as default for new messages |
| Reply | Replies and forwards | Set as default for replies/forwards, or for all messages if you mostly email internally |
| With address | When clients need the office address | Select manually when needed |
Important: Outlook does not sync signatures between desktop, web, and mobile. Please check your signature settings on each platform you use and either set up a Yambay signature or clear any default text (such as “Get Outlook for Mac” or “Sent from Outlook for iOS”).
Find the signature settings in your version of Outlook, create a new signature, then click Copy Signature below and paste.
Outlook mobile manages signatures separately from desktop and web, so you need to set it up manually. The mobile app only supports one signature.
To use a different signature for a specific email (e.g. the Address variant):
Tip: If you use Outlook on the web as well as the desktop app, set up your signatures on the web and they should sync to your desktop app automatically.
